Description

Assist with the implementation of overall company and marketing department specific strategies to increase company and team success, and provide general office management support with a variety of clerical activities and related tasks.

Essential Marketing Functions

  • Answer phones, take messages, screen calls, greet and assist clients
  • Lead intake, including initial screening on the phone, and
  • Process leads, including entry in CRM system (ReadyBuild)
  • Send out thank you cards and gifts for referrals
  • Support ordering of marketing supplies including but not limited to: business cards, folders, and other branded items as needed
  • Process updates to marketing materials and work flows per Marketing Director
  • Support project photography and video marketing efforts per the Marketing Specialist
  • Support direct mail and email marketing projects, including but not limited to researching and building distribution lists, and sending out weekly client communication emails
  • Support customer and team member events
  • Other duties as assigned

Essential Office Functions

  • Maintain office phone system, phone list for vendors and staff, mobile phone updates and contact info.
  • Complete open/close the office duties
  • Assist with troubleshooting IT problems, and/or coordinate IT support
  • Keep printers, copiers, fax machine, plotter, and coffee machine running properly
  • Maintain toner, paper etc. and schedule repairs as needed
  • Set-up for monthly Goals Meetings and assist with administrative needs for other employee events as needed
  • Process design agreements and construction agreements
  • Assist with team member onboarding and offboarding tasks
  • Coordinate IT and other essential office services including but not limited to building maintenance needs (cleaning, seasonal prep, repairs).
  • Maintain and distribute office job lists
  • Support staff in various tasks including but not limited to: letter writing, faxing, scanning, mailing, making phone calls, appointment scheduling, ordering and returning product and/or supplies
  • Open, sort, stamp and distribute the mail. Monitor and process company email.
  • Support recruiting efforts with direction from HR, including but not limited to assisting with job postings, interview scheduling, etc.
  • Maintains/stocks office kitchen, design center refrigerator, and orders kitchen supplies
  • Maintain conference rooms and calendars
  • Other duties as assigned

Education & Experience

  • High School Diploma or GED.
  • 2 years of relevant experience and/or training.
  • High level of general computer knowledge with strong skills in Microsoft Windows and Microsoft Office programs
  • Marketing experience/ formal education is a plus.
  • Mailchimp experience a plus.
  • QuickBooks experience a plus.

Physical Requirements:

  • Prolonged periods of standing and sitting at a desk and working on a computer.
  • Must be able to lift up to 30 pounds at times.
  • Must be able to travel and navigate to client sites.
  • Must be able to distinguish colors and shapes to design.

Position Pay Information:

Full-Time
$20-$25/hour
